Minutes for Meeting - 10th October 2001

In attendance: 12 of the usual suspects, 4 apologies

Finances: The local finances are in an extremely bad state with contributions far below the amount needed to meet the ongoing monthly costs. The Gold Coast has been unable to meet its commitment to the Propagation Fund for two months. Action: Paul F. and Brod will draw up a message to be circulated on email and by phone, informing people of the current situation and inviting their support. It is imperative that a basic amount is contributed each month for video events to continue on the Gold Coast.

Fundraising event: It was agreed to proceed with the fundraising event on Sunday 11th November, following the satellite broadcast event. A brief planning meeting to finalise details will be held on Sunday, 28th October at 7 pm (following the event) at S.'s place, ???. It is hoped that the people who helped with the previous fundraising event will participate again in similar roles. Format for the evening: Video event, pot-luck dinner, auction of a variety of items including video tapes from the lending library, concluding with dessert and coffee, tea.

Global Satellite Broadcast and Materials Day: This is a worldwide event on Sunday 21st October. An email has been sent out inviting people to attend, and announcements have been made at events. As it is a two hour event, starting at 5.30pm, refreshments will be served during a break in the program.

Knowledge Introduction Training: This was proposed to be held on the Gold Coast on 17/18 November, and intended for those who live in S.E.Queensland and northern N.S.W. Due to extra expenses having to be included in the registration cost, the meeting unanimously decided to postpone proposing such a training until early 2002. It is considered an unwise venture at this stage due to those extra costs and the other significant unfinancial situation. A. will inform the relevant people of the postponement.

Events: Now that authorised local downlinkers are in place who record the satellite broadcasts each week for use at the scheduled events, it was decided to adjust the calendar so that the first screening will now be on the day of the downlink (Sunday, Life Education Centre, 5.30pm) and the second screening will be on the following day (Monday, John Flynn Hospital, 7 pm). This will bring the calendar in line with the preferred way of scheduling. This change operates from Sunday 11th November. The meeting agreed to ask the downlinker, event manager and the MC to confer with each other weekly regarding any 'quality control' concerns. Paul F. will contact the broadcast team with some feedback regarding placing advertisements at the beginning of events which are suitable for new guests. The meeting agreed that a specific item, "Local Events" will be a mandatory agenda item at future meetings (as is "Finances"). Event Human Resources: Backup people are needed in most roles to ensure a complete and skilled staff at all events. If you would like to help out, please see Mary G.

The Elan Vital Recorded Information Line is listed in the current White Pages. Revised general recorded information line cards (credit card size) for Australia are being reprinted. As recorded information lines and web addresses are now established worldwide their current and accurate information is a must.

Video and audio lending library: The screening library has been appropriately culled and these videos have now been added to the lending library. Several satellite broadcast tapes are also available from the lending library. S. will sell off some of the videos from the lending library - either at the events or at the proposed auction.
